- Central Repository for maintenance contract
You can now track all your customers' maintenance contract electronically
with a complete record. Details of maintenance services will be recorded in
the contract while clear indication of billing policy will also be noted. You can
present them in business layout of your preference and have it generated
in PDF format for saving, printing, emailing or faxing.
- Full Audit Trail of maintenanc contract's amendments
Whenever amendments are made between your customers and you,
changes will have to be reflected in the relevant maintenance contracts. Full
audit trail will be available to ensure that any past revision details will be
tracked in full, including the author who triggered the amendments.
Regardless of the format, documents that you need to attach along with the
maintenance service contract can be stored electronically in TaskHub for
easy retrieval and access. You can now view these documents anytime,
anywhere reducing on the reliance on paper documents. It also translates
into cost saving for company with less papers.
With a single "click", you can update the status of the maintenance contract
either for renewal or termination. Contract number will remain with renewal
number being tracked accordingly. Maintenance contracts reaching the
expiry date will be auto-detected and stored in the expired contract
repository where sales personnel can be alerted to start the negotiation
work with clients.
Should there be changes to maintenance contract after billing, while
working on the amendments, credit note can also be issued to refund the
customers since the invoice billing would no longer be valid with traceability
to the amount to be issued. Credit note issued can be used to knock off
against all the outstanding payments from customers.
Unauthorized personnel will have no access to maintenance contract that
they have no rights to. Apart from having the rights to access by contract's
author, their respective supervisor or any personnel with the given rights
will have the access to them. Different level of rights access can be given,
be it the right to only view and/or amend contract details.
- Accurate billing and revenue accrual handling
Each customer could have multiple maintenance contracts with you where
each has its own billing frequency. Be it monthly, bi-monthly, quarterly, bi-
annual or annually. TaskHub will handle the accrual of revenue accordingly.
If the maintenance contract starts from 1st Jan to 31st Dec with quarter
billing frequency and customer only confirms the contract in Feb, TaskHub
will recognize the revenue for Jan and Feb and accrue the revenue for
March. TaskHub will even pro-rate the revenue recognition up to day count
basis. This means should the maintenance contract starts on 30th Jan,
TaskHub will recognize the revenue for 30th and 31st Jan opportunity.
- Stock Requisition tagging to maintenance contract
Well-integrated with our inventory management, you may need to draw
stock from warehouse for the maintenance job. Using our stock requisition
thus allows you to request for stock out from your warehouse so that
warehouse personnel will be notified and arrangements can be made for
you.
