The decision of implementing an ERP system can be quick, but the whole process from sourcing for the most suitable ERP system vendor to deploying the whole system can take anywhere from 6 months to a year. Fret not! You will not be having 6 months of sleepless nights, just be sure to take one step at a time and reach out if you need any advice. Let us share with you the steps below:

1. Identifying main problems / set objectives

First, list out the problems the company is facing. For example, the business is growing and inventories couldn’t be tracked on an excel sheet anymore. Or, what are the objectives you would like to meet after implementing ERP software?

If the company is expanding its business into another country and is also planning to use ERP system, what are the different requirements for the local office and overseas office?

Once you have a full understanding of what is needed, you may start sourcing for vendors.

2. Sourcing & Evaluating Vendors

When sourcing for vendors, it is important to know your budget. Some high-end ERP system vendors will charge an arm and a leg while some are priced lower. Hence, talk to a vendor whose price is within your company’s budget.

Other than that, tell them all your requirements as specific as possible. This is the time to evaluate vendors to see if they have the capability of meeting all your requirements because your intention of getting an ERP software is to streamline your entire business. Thus, do not compromise with vendors who do not have the modules you need or are unable to deliver your needs.

3. Planning & Design

Once a vendor is chosen, both parties will finalize the requirements. Since vendors have worked with many clients from different industries with different requirements, they are always able to provide advice on the best design. Also, at this stage, vendors will be able to tell the time needed for them to develop your requirements, and you can utilize the time when they are developing the system to clean up all the data in your database and prepare for data migration in the future.

4. Development

At this stage, the main task is for the development team to develop the modifications required that have been previously designed. The time required depends on the customization needed. Since every business is unique and has their very own operating standards, it is crucial to have a vendor to develop a software that is a perfect fit for the company and not the other way around where employees have to change their daily operational workflow to fit the ERP system.

5. Testing

After the whole system is developed (if customization is required), vendors will go through the testing process. They will continuously check and fine-tune different parts of the software to make sure that all the bugs are detected on time and identify any potential issues before the whole system goes live.

6. Deployment

Finally, when the above actions have been completed, the team will start the deployment process. Vendors will provide hands-on users training to all the employees to ensure that they can completely utilize the new software without affecting their daily workflow because change can be difficult for some employees.

After that, at the data migration stage, all data will be transferred from the current software to the new software. Though it may sound like a simple process, it requires much cooperation from different departments of an organization together with the ERP software vendor.

7. On-going Support

The process does not end there. Over time, due to system updates, vendors will continue to offer support and conduct annual visits to provide assistance and maintenance. This is to ensure that everything is in place and customers receive immediate support whenever they face problems with the software. In addition, this is also a good time for customers to provide feedbacks, letting their vendors know what they like or dislike about the software in order for improvements to be made.
