This month, our team has introduced powerful new optimisations to further streamline your workflows, improve user experience, and enhance system performance. Project & Contract

1. Logic enhancement on Subcon Claim Import – (Form code: TH6_PJ_SUBCON_CONTRACT_V1)

We have made the following changes to the Subcontractor Contract screen in the Subcon Contract module:

  1. Claim Type Field in Subcon Claim Import Template 
    • The default value is now determined based on either the Cost Type of the respective Subcon Contract No. (if there is no existing Subcon Claim Voucher) or the latest Subcon Claim Voucher history. 
  2. Previous Cumulative Claim and Previous Cumulative Certified Fields in Subcon Claim Import Template 
    • Renamed “Previous Cumulative Claim” and “Previous Cumulative Cert” columns to “Previous Cumulative Claim Amt” and “Previous Cumulative Certified Amt”, respectively. 
    • The system now displays the Previous Cumulative Claim Amt and Previous Cumulative Certified Amt of the respective Subcon Contract No. 
  3. “Qty/Percent” Field in Subcon Claim Import Template 
    • Renamed to “This Cumulative Claim Qty/%”. 
    • Moved the column to appear after “Previous Cumulative Claim Amt”. 
    • The default value is now based on the latest Subcon Claim Voucher history of the respective Subcon Contract No. 
  4. “Certified Qty/Percent” Field in Subcon Claim Import Template 
    • Renamed to “This Cumulative Certified Qty/%”. 
    • Moved the column to appear after “Previous Cumulative Certified Amt”. 
    • The default value is now based on the latest Subcon Claim Voucher history of the respective Subcon Contract No. 
  5. Renamed “This Cumulative Claim” column to “This Cumulative Claim Amt”. 
  6. Renamed “This Cumulative Certified” column to “This Cumulative Certified Amt”. 
  7. Renamed “This Claim” column to “This Claim Amt”. 
  8. Renamed “This Certified” column to “This Certified Amt”. 
  9. Renamed “Less: Previous Certified After Retention” to “Less: Previous Payment for Work Done”. The default value is now based on the latest claim history. 
  10. Omission Phase Display Logic in Subcon Claim Import Template 
  • When the module configuration “Enable to Input Claim and Certified Amount for Omission Phase” is set to Y: 
    • The Omission Phase is displayed under the “Variation Order” section with its respective data. 
  • When the module configuration “Enable to Input Claim and Certified Amount for Omission Phase” is set to N:
    • The Omission Phase will not be displayed under the “Variation Order” section. 
    • The omission amount will be deducted from the Original/Addition Phase linked to the Omission Phase.

Payroll & Finance

1. Payroll: Deadline to submit claims from receipt date 

(Formcode: TH6_EMP_CLAIMS and TH6_MOBILE_PAYROLL_CLAIMS) 

For Payroll Claims, there was previously no strict validation on the submission deadline for employee claims based on the receipt date. This allowed users to submit outdated claims, leading to inefficiencies in payroll management.

To ensure timely claim submissions and better payroll control, we have introduced a submission deadline validation.

New Configuration: Claim Submission Deadline

  • A new module configuration, “Deadline (Days) to Submit Claims from Receipt Date”, has been added under Payroll tab > Additional Payment tab. 
  • The system will now validate the submission date against the receipt date to ensure it falls within the number of days specified in the module configuration. 
  • If the submission date exceeds the allowed period, the system will prevent users from submitting the claim. 

Example:

  • If Deadline (Days) to Submit Claims from Receipt Date is set to 90 days: 
    • A user attempts to submit a claim on 27/02/2025 with a receipt date of 05/11/2024. 
    • Since the receipt date exceeds the 90-day limit, the system will not allow user to submit the voucher. 

This update ensures compliance with company policies and enhances payroll processing efficiency.

2. Leave Carried Forward Exception | (Formcode: TH6_LEAVE_CARRIED_FORWARD) 

Previously, leave carried forward days were calculated based on the maximum carried forward days set in the Leave Type screen. If an employee had unused leave more than the allowed maximum, the system would only carry forward the maximum value.

There are scenarios where employees cannot clear their leave as they are busy with their work and they have asked permissions from the management to allow them to carry forward more leave to following year.

With this update, HRs now have better visibility and control over carried forward leave, ensuring compliance with company policies. They also have the flexibility to grant employees additional carried forward leave days beyond the policy limit if necessary.

A new table has been added to the Leave Carried Forward screen. The system will now retrieve employees whose unused leave exceeds the maximum carried forward limit and allow users to edit carried forward values within a valid range.

If users modify data but do not complete the carried forward process, the changes will not be saved, and the screen will refresh upon reaccess.

3. Notification to change password X days before password expiry  

Previously, users often forgot to change their passwords before expiration, leading to access issues and increased support requests. To address this, we have introduced an automated email reminder that notifies users X days before their password expires, allowing them to update it proactively and maintain uninterrupted access.

With this release, a new global configuration has been added, allowing administrators to enable or disable password reminder emails when the “Password Expired in (Days)” setting is configured.

The password reminder email will include:

  • Step-by-step instructions on updating the password. 
  • Password setting requirements to ensure compliance. 
  • A secure link directing users to the password update page. 

This enhancement helps improve security and minimizes access disruptions.

4. Payroll: User Pop Up Screen  

In the old design there are limited details, the only two options are “Change Username/ Password” and “Logout”. 

With this enhancement, the new User Pop-Up Screen now provides a clearer and more structured view of employee details:

  • Employee Information Update: The screen now displays the employee’s current designation and mapped employee details.
  • Leave Entitlement Display: User can view annual leave entitlement directly within the pop-up. For customers without the payroll module, these fields will show a placeholder value.
  • Contact Section: The system now correctly maps and displays mobile number, home phone, email, and address. User can click pencil icon to link to screen for updating contacts section.
  • Privacy Section: Users can conveniently access the “Change Username / Password” function, linking to the correct page.
  • Locale Configuration: Admins can now control available languages (English, Chinese, Vietnamese) via system configurations.
